Privacy Policy

    1. WHAT IS PERSONAL INFORMATION?

    The Privacy Act and the National Privacy Principles (NPPs) apply to the collection, use and disclosure of an individual’s personal information by private sector organisations.  Under the Privacy Act, personal information is broadly defined.  In simple terms it means any information related to an individual which is held in a record by an organisation such as RI Group Ltd.

    The Privacy Act and NPPs do not apply to the handling of information related to companies or businesses.

    2. WHAT IS SENSITIVE INFORMATION?

    Sensitive information is a particular type of personal information and includes health information and information about personal attributes such as ethnic or racial origin, membership of organisations such as trade unions, religious or political affiliations. 

    3. HOW AND WHY WE COLLECT PERSONAL INFORMATION

    There are a number of reasons why RI Group Ltd may collect your personal information.  One reason is to provide you with a particular financial product or service.  A second reason is to provide you with further information about other RI Capital Pty Ltd products and services – this is further outlined in Section 9.

    Receiving information about our financial products and services.

    In our application forms, by other methods which we capture information and through our administrative processes we seek your consent to our handling your personal information in accordance with this policy.

    We collect such information as is necessary for us to assess an application for a particular product and to manage and administer the product for the duration of an investment or holding of that product.  If you do not provide us with the requested information we may not be able to process or assess your application to provide you with RI Group Ltd products or services.

    Clickstream data
    Clickstreams are the paths a user takes when navigating a website and the Internet in general. When you visit one of our sites, our servers may record the following information for statistical purposes:

    • the user's server (IP) address and machine name;
    • the date and time of visit to the site;
    • the pages accessed and documents downloaded;
    • the number of bytes transmitted and received for each request;
    • the previous site or page visited;
    • search terms used; and
    • the type of browser used.

    RI Group Ltd examines this information to determine the traffic through the server and to specific pages or applications. In order to deliver better services, we also perform statistical analysis to establish priorities and allocate resources.

    No attempt will be made to identify users or their browsing activities except in the unlikely event of an investigation, where a law enforcement agency may exercise a warrant to inspect server logs.

    The statistics and log files may be preserved indefinitely and used at any time and in any way necessary to prevent security breaches and to ensure the integrity of the information supplied by RI Group Ltd.

    Cookies
    A cookie is a short piece of data that is sent from a web server to a web browser on the user's machine when the browser visits the server's site. The cookie is stored on the user's machine, but it is not an executable program and cannot do anything to your machine.

    Whenever a web browser requests a file from the same web server that sent the cookie, the browser sends a copy of that cookie back to the server along with the request. In this way, the server knows you have visited before and can co-ordinate your access to different pages on its web site. A server cannot find out a name or email address, or anything about a user's computer, by using cookies.

    We use cookies to obtain session details for access to parts of our sites. Cookies are essential in providing a seamless access to some online databases. Cookie information is not stored or collected by RI Group Ltd.

    Email addresses
    We will only record your email address if you send us a message or supply it when participating in a discussion forum, in which case it will be visible to other users of that forum. We will use your email address only for the purpose for which you have provided it and you will not be added to a mailing list unless you have asked us to, nor will we disclose it except as described in the previous paragraph.

    Security
    Once RI Group Ltd receives information from you via email or any other means, the information is in a secure environment. Your personal information will not be released unless the law permits it or your permission is granted.

    You need to be aware of inherent risks associated with the transmission of information via the Internet.

    If you have concerns in this regard, RI Group Ltd has other ways of obtaining and providing information. Normal mail, telephone and fax facilities are available.

    4. HOW WE USE YOUR PERSONAL INFORMATION

    The primary reason that we collect, use or disclose your personal information is to assess your application and then administer and maintain your financial product or provide a financial service.  For example, RI Group Ltd maintains records of the products each client holds and provides account statements to each client.  This may involve different RI Group Ltd companies providing management and administration services.

    RI Group Ltd maintains the confidentiality and security of your personal information by restricting access to those staff and service providers required to provide management and administration services.

    5. DISCLOSURE OF YOUR PERSONAL INFORMATION TO OTHER PARTIES

    It may be necessary for us to disclose your personal information to certain third parties in order to assist RI Group Ltd in managing and administering your product.  Examples of the types of organisations to which we may disclose your personal information, include:

    • Organisations undertaking compliance reviews or financial advisers;
    • Organisations undertaking reviews of the accuracy and completeness of our information;
    • Our solicitors, valuers and insurers for loan products;
    • Organisations providing mailing services, marketing bureau services (e.g. telemarketing) and printing our standard documents and correspondence;
    • Organisations maintaining our information technology systems and providing information technology services;
    • Exchange of information with authorised financial institutions, such as banks, credit unions and building societies, providing account details as mechanism for providing payments or receipts of payments;
    • To those lenders who have provided lending facilities to you for your investments (if any);
    • Credit reporting agencies;
    • Organisations providing analysis and research;

    We will only disclose personal information to these organisations to enable them to undertake specified management and administration services.
    We will also disclose your personal information in circumstances where we are required by law to do so.

    6. HOW TO ACCESS YOUR PERSONAL INFORMATION

    You may request access to information that we hold about you and your RI Group Ltd financial product or services by contacting the RI Group Ltd Compliance Officer.  Requests for access to your personal information may only be made by you.

    We may seek reimbursement for providing access to this information to recover any expenses incurred in retrieving and collating the requested information.  Please refer to your product documentation or contact the RI Group Ltd Compliance Officer for details of any reimbursement costs.  We may request that you specify the information you wish to access, to help us quickly identify and retrieve that information for you.

    RI Group Ltd’s Compliance Officer will advise you at the time of your access request how long it will take to provide the information.  This will usually be less than 21 days.
    In order to ensure the continuing confidentiality and security of your information, access will be provided at RI Group Ltd’s office.  Alternatively, where practicable, you may elect to receive the information by registered mail or courier.

    We may exercise our right to deny access to particular information in certain situations, for example where access may involve commercially sensitive decision processes or where legal proceedings have commenced.  If we deny you access to your personal information, we will explain the reason it has been denied.

    7. PROTECTION AND QUALITY OF YOUR PERSONAL INFORMATION

    We are committed to protecting your personal information from misuse, loss and from unauthorised access, modification or disclosure.  We limit access to those staff and service providers who manage your financial product.  We have in place a range of security measures designed to prevent unauthorised access or disclosure of your personal information.

    RI Group Ltd relies on the correctness of the information that you supply to us.  Please assist RI Group Ltd by contacting us if any of your personal information is incorrect, has changed or requires updating.

    8. HOW LONG IS YOUR PERSONAL INFORMATION KEPT?

    Your personal information is kept as long as the information is required to manage your financial product, provide you with a financial service or to deal with your enquiry.  It is generally kept for a further period of at least seven years.

    9. RECEIVING INFORMATION ABOUT OUR FINANCIAL PRODUCTS AND SERVICES

    RI Group Ltd does not sell or rent its customer information to any unrelated third parties for the purposes of those third parties marketing their products and services to you.
    We may send you information about our financial products and services from time to time.  You may notify us of your decision to stop receiving such information by contacting RI Group Ltd directly.

    10. TAX FILE NUMBERS

    RI Group Ltd is required to request the collection of your Tax File Number (TFN) under certain legislation.  The handling of TFNs is also regulated under the Privacy Act through Guidelines issued by the Privacy Commissioner.  The continued confidentiality and security of your TFN will be maintained in accordance with these Tax File Number Guidelines.

    11. CHANGES TO THIS POLICY

    RI Group Ltd continually strives to improve the standard of the service we provide to you, so from time to time we may update this policy.

    RI Group Ltd is committed to resolving your privacy complaint as quickly as possible and has procedures in place to help resolve any problems or complaints efficiently.  Our aim is to assist you by reaching a satisfactory solution as soon as possible.
